For real estate closing attorneys and title offices around Charlotte

Your paralegals should be closing files, not retyping payoff letters.

In North Carolina, a residential closing has to be handled or supervised by a lawyer. That puts a big pile of paperwork on a small team: payoff letters, HOA letters, tax figures and recording updates, read and typed in by hand. I build programs that do the reading and typing. Your team checks every figure.

The paperwork

Where the hours go in a closing office

Every figure on a closing has to be right, because money moves on it. So good paralegals read everything twice, and the typing eats the day.

  • What comes in

Lender payoff statements and HOA dues letters

    Gets typed into

Figures in your closing software and the settlement statement

  • What comes in

Tax bills, title commitments and their requirements

    Gets typed into

A checklist a paralegal keeps by hand

  • What comes in

Recording confirmations and final title policies

    Gets typed into

    A post-closing tracker in a spreadsheet

Closings bunch up at the end of the month, and so does the typing.

What I build

What I build for closing offices

Three examples. Yours gets built around your forms and your system.

Payoff and HOA letters read into one sheet

The program pulls the payoff amount, per diem, good through date and payee from each payoff letter, and the dues and fees from each HOA letter, into one sheet per file. Your paralegal checks it against the letter and enters it.

Closing figures checked side by side

Before disbursement, it lines up the settlement statement against the letters and your ledger and lists every line that doesn't match for a person to review. It never sends a wire or touches wiring instructions.

A post-closing tracker that stays current

Drop recording confirmations and final policies into a folder, and the tracker marks those files done. Each morning your team sees which files are still waiting, and for how long.

Proof and who you'd work with

Something I've built, and the person who built it.

The closest thing I've built

A workers' comp medical bill review company hired me because someone on their team keyed invoice PDFs into an Excel sheet by hand, every week. I built a program that reads the PDFs and builds that sheet in the layout they already used. I had a first working version on their own invoices in about a day. The version they use now checks each invoice's line items against its printed total, and a person reviews the ones that don't match.

Same shape as a payoff letter: a PDF laid out by someone else, and figures that have to be exact before money moves.

I don't name that client here.

How working with me goes

It starts with a free 15-minute call.

  1. A free 15-minute call.

Tell me which paperwork eats the most hours. We'll know fast if it's worth a closer look.

  2. A walkthrough.

Show me a few recent files, with the letters and where they get typed. You get a written quote before any paid work starts.

  3. The first fix, on your real files.

It runs side by side with the old way until your team trusts it.

  4. Ongoing help only if you need it.

A new form or a new way of working. You deal with me for all of it.

FAQ

What a closing office should ask me

Can a program be trusted with closing figures?

Not on its own, and I don't build it to be. It does the reading and the comparing. A person on your team approves every figure, the same as today.

Does it send anything to lenders, agents or clients?

No. What I build for closing offices doesn't send emails, wires or documents. It prepares and checks. Your team sends.

Our files hold bank and personal details. How do you handle that?

We start with redacted copies or made-up samples. I build faster with AI tools, and sample files may go through them, so nothing real is shared until we agree in writing on what the program keeps, where it runs and who sees it. I don't hold a SOC 2 report.

Do you work with title agencies too, or only law offices?

Both. The paperwork is the same kind of problem either way.

Bring me the letters your team retypes every week.

Fifteen minutes is enough to know. If it isn't worth building, I'll tell you.
