Remittances read into your posting sheet

The program reads each EOB or remittance PDF and fills the sheet your team already uses: account, claim, date of service, billed, allowed, paid and adjustment. It checks each document's lines against its printed total, and the ones that don't match go to a person first.

Intake packets turned into one clean row

Scanned intake forms and insurance cards come out as one row per patient: name, date of birth, payer, member ID and group number. Your front desk checks the row against the scan instead of typing from scratch. I build it to mark handwriting for a person.

One running list for denials and missing paperwork

Drop denial letters and records requests into a folder and they land on one list with the claim, the reason and the date due, instead of living in someone's inbox.

The closest thing I've built

A workers' comp medical bill review company hired me because someone on their team keyed invoice PDFs into an Excel sheet by hand, every week. I built a program that reads the PDFs and builds that sheet in the layout they already used. I had a first working version on their own invoices in about a day. The version they use now checks each invoice's line items against its printed total, and a person reviews the ones that don't match.

FAQ

What a billing office should ask me

Do you have a HIPAA certification?

No, and I won't imply otherwise. I don't hold a SOC 2 report either. Before any patient file changes hands, we agree in writing on what the program keeps, where it runs and who sees it. If you need a business associate agreement, raise it on the first call. No patient files move until that's settled.

Can we start without sending you patient files?

Yes, and that's where I'd start: copies with names and numbers blacked out, or made-up samples in the same layout. I build faster with AI tools, and sample files may go through them, so we decide together what's safe to share.

Does it work with our practice management system?

To start, it fills the spreadsheet your team already uses, so your system doesn't change. Whether it can go further depends on the system, and I'll tell you plainly once I've seen it.

What if it reads something wrong?

Sometimes it will. Scans are messy. That's why it's built to check totals and hand a person what doesn't add up, and why it runs next to your current process until your team trusts it.
