Vendor invoices read and coded

The program reads each invoice and pulls the vendor, invoice number, amount, date and service address, then matches the address to your property list. Anything it can't match, or that looks like a repeat of an earlier invoice, goes to a person with a note.

Lease details pulled into one table

Point it at a folder of signed leases and get one row per lease: resident, unit, rent, deposit, start and end dates. It helps most when a new owner's leases all need entering at once.

Utility bills checked month to month

Each month's utility bills land in one sheet by building, next to last month's, so a jump that needs a phone call stands out instead of getting paid and filed.

The closest thing I've built

A workers' comp medical bill review company hired me because someone on their team keyed invoice PDFs into an Excel sheet by hand, every week. I built a program that reads the PDFs and builds that sheet in the layout they already used. I had a first working version on their own invoices in about a day. The version they use now checks each invoice's line items against its printed total, and a person reviews the ones that don't match.

That's the same job your team does with vendor invoices, just with a different stack of PDFs.

FAQ

What a property manager should ask me

Does it work with our property management software?

To start, the program fills a sheet laid out the way your team enters bills. Whether it can go further depends on what your software accepts, and I'll tell you plainly after I see it.

We still get paper invoices. Does that work?

Yes, once someone scans them. Clean scans read best. I build it to mark handwritten invoices for a person to fill in.

What if it codes an invoice to the wrong property?

I build it to code an invoice only when the address matches your list, and to send everything else to a person. It runs next to your current process until your team trusts it.

Leases have resident details in them. How do you handle that?

Before I build, we agree in writing on what the program keeps, where it runs and who sees it. I build faster with AI tools, and sample files may go through them, so we can start with redacted copies. I don't hold a SOC 2 report, and I won't imply otherwise.
