Carrier invoices matched before you pay

The program reads each carrier invoice, finds the load, and lines it up against the rate confirmation and the POD. Invoices that match go on the ready list. A different amount, a missing POD or a second invoice for the same load goes to a person with a note.

Rate confirmations read into your load sheet

Tenders and rate confirmations come out as one row per load: shipper, pickup and delivery, dates, rate and extra charges, ready for your team to check and enter.

Carrier packets checked and tracked

Setup packets are read into one carrier record, and insurance expiration dates land on a running list, so an expired certificate shows up before a load gets booked, not after.

The closest thing I've built

A workers' comp medical bill review company hired me because someone on their team keyed invoice PDFs into an Excel sheet by hand, every week. I built a program that reads the PDFs and builds that sheet in the layout they already used. I had a first working version on their own invoices in about a day. The version they use now checks each invoice's line items against its printed total, and a person reviews the ones that don't match.

That's the carrier pay job in miniature: invoices in, a checked sheet out, and a person deciding on anything that doesn't add up.

FAQ

What a freight office should ask me

Does it work with our TMS?

To start, the program fills a sheet your team already uses. Whether it can go straight into your TMS depends on what it accepts, and I'll tell you plainly after I see it.

Can it read the photos drivers send from their phones?

Clear photos, usually. Blurry or crumpled ones go to a person. We test it on your real ones when we build the first fix, not on perfect samples.

Will it pay carriers on its own?

No. It gets invoices ready and checked. A person on your team approves every payment.

What about our carrier and customer data?

Before I build, we agree in writing on what the program keeps, where it runs and who sees it. I build faster with AI tools, and sample files may go through them, so we can start with redacted copies. I don't hold a SOC 2 report, and I won't imply otherwise.
